Remote work and virtual meetings are here to stay, which means your professional presence on platforms like Zoom is just as important as how you present yourself in person. Virtual interactions can be tough, though! Even though you’re physically distant… your appearance, behavior, and environment are on full display in that little square. How you show up on virtual meetings can still affect how you’re perceived by colleagues, clients, and employers. Whether you’re leading a presentation, attending a job interview, or participating in team meetings, you need to master this skill. Let’s talk about how to level up your professional presence on Zoom!
Let me tell you a story of a real success story of a professional Zoom presence! One of my assistants used to work for a C-suite executive of a huge multimedia marketing corporation, and she attended his virtual all-hands meetings on Mondays off-camera to take notes for him. While she was there, there was a woman who’d moved into another C-suite position, and she was quite a bit younger than the other executives. But every time she showed up on a Zoom meeting, she had a) a great setup with flattering lighting and pleasant wallpaper behind her; b) a polished look with makeup and a nice blouse; and c) a smile on her face the whole time! Every time she presented, every single one of those little square boxes was so engaged. But whenever there was someone presenting with bad lighting and a sweatshirt on… people disengaged. They went off camera. They stopped responding to questions in the chat. The air went out of the virtual room. I wasn’t surprised at all when she told me this story! It makes a huge difference. Let’s break down these tips!
Just because you’re working from home doesn’t mean it’s ok to wear athleisure. Dressing professionally, even on camera, sets the tone for how others perceive you and how seriously they take your contributions! You may be taking meetings from your couch, but get out of that “lounge” mentality. Opt for solid colors over busy patterns, as these can be distracting on video. Stick to well-fitting, professional attire that reflects the setting of your meeting.
While it might be tempting to dress only from the waist up, fully dressing for the day will put you in a more professional mindset and save you from potential embarrassment if you need to stand up unexpectedly! (I’ve heard of this happening more than once… yikes!)
Good lighting can make a huge difference in how you appear on camera. Natural light is best, so if possible, sit facing a window. But if natural light isn’t available to you, snag a ring light on Amazon for less than $20! It’ll make sure you get even, flattering light on your face. Avoid sitting with your back to a window or a bright light source – no one will be able to see your face.
On another note – make sure your camera’s at eye level. Looking down at your computer screen can create an unflattering angle. Use a stack of books or a laptop stand if you need to so you can bring the camera up to the right height!
Your environment says a lot about your professionalism, even when you’re meeting virtually. A cluttered or chaotic background can be extremely distracting, and may give off the wrong impression. Opt for a clean, neutral space with minimal distractions! If you’re unable to find an appropriate spot in your home, make use of a virtual background, but make sure it’s simple and professional—nothing too flashy or gimmicky. (You can even do the blur function!)
Eye contact is just as important in virtual meetings as it is in face-to-face interactions. To create the appearance of eye contact on Zoom, look directly into your camera when speaking, rather than at the screen. It can feel a little strange at first, but it really goes a long way in engaging your audience and building rapport!
Body language matters, too. Sit up straight, avoid fidgeting, and nod to show you’re engaged. Even though others can only see you from the shoulders up, your posture and energy still communicate attentiveness and confidence. (And yes – it’s obvious when you’re texting or paying attention to something else. If you’re wearing glasses, people can see the reflection of your screen!)
Preparation is just as key to projecting professionalism virtually as it is in the office! Make sure you’re familiar with the platform’s functions, such as screen sharing and muting/unmuting, so you don’t fumble during the meeting. If you’re using headphones, make sure they’re properly connected first via Bluetooth or wire. Try to sign on a few minutes early in case your software decides to do an update!
Arriving early or on time to the call also sends a message of respect and professionalism. Use that extra time to greet your colleagues, review your notes, and settle into the virtual room. If you’re uncomfortable with making small talk prior to the meeting… then go off camera! Your early presence alone makes a difference. Just make sure that you turn it back on when the meeting starts!
In the age of virtual communication, your Zoom presence can make or break your professional image. By paying attention to details like attire, lighting, and background, and by practicing good virtual etiquette, you can maintain a polished, professional look—even from the comfort of your home. Treat every virtual meeting as an opportunity to showcase your professionalism, and you’ll stand out as someone who’s prepared, confident, and engaged!
